About Be Independent Home Care
Be Independent Home Care is a private home care provider operating in Dublin and surrounding areas. The company provides quality support and care at home to elderly or unwell people.
In 2013 Be Independent employed around 30 professionally trained and highly experienced nurses and carers providing support and care to about 90 clients.
The Challenge
Be Independent’s office staff were using Word and Excel to manually create work schedules for carers. In addition, they had to manually prepare detailed reports for customer invoicing and employee payroll from paper-based work schedules. This administration work was taking two full-time employees 3 days each week to complete.
These tasks were so complex and so important to the business, that the owners themselves were closely supervising them, which in turn limited their ability to focus on the business growth.
We calculated that it was costing Be Independent just over €40,000 per year to complete all this work manually.
The Solution
GRIP designed a software solution that automates the process of creating and managing work schedules, and provides instant reports for invoicing and payroll.
There is no need to process paper-based worksheets or collate information using spreadsheets. The information is imported into third-party payroll and invoicing systems without manual data entry.
Over time, additional features have been added, including:
- Recording of carer annual and sick leave, helping the care team to organise care cover
- Carers’ training records and notifications about upcoming training renewals
- A carers’ portal for carers to sign in and review their schedules
- Automated notifications to carers when their schedules have changed
- Carer availability search based on qualifications, area covered, and time availability
- Timesheets submission by carers
The Results
The biggest benefit is that the software allowed to free up time for the business owners. They no longer have to spend hours creating and checking work schedules, or compiling reports for invoicing and payroll; they can focus on developing and growing their business.
As a result, the company has grown to serve nearly 800 customers and manage 300 carers as of 2022.
The software reduced the time it takes to create work schedules from 48 to 12 hours per week. All data is stored in a database system, so reports are generated instantly, eliminating the need for manual reporting.
